What is a barcode and why is it needed?

A barcode is a graphic image that contains digital information about a product. The most common standard is EAN-13, which consists of 13 digits. Each digit corresponds to certain information: the country of the manufacturer, the company code, the product code, and the check digit.

According to Ukrainian legislation, namely the Law of Ukraine “On Consumer Protection”, all packaged goods (except for goods sold by weight or by volume) must have a barcode on the packaging.

Without a barcode, most retail chains simply do not accept the product for sale.

Who has the right to receive a barcode?

Any manufacturer, distributor, importer, or even an individual entrepreneur who sells their own products can receive a barcode. The main condition is the presence of an officially registered business entity (individual entrepreneur or legal entity), which confirms the seriousness of the applicant’s intentions and compliance with accounting requirements.

If you are only planning to launch your own trademark or package goods under a private label, a barcode will also be needed – without it it is impossible to ensure systematic turnover.

How is a barcode registered?

Registration with the GS1 organization

GS1 is an international non-profit organization that is engaged in standardization and assignment of barcodes. In Ukraine, there is a representative office of GS1 Ukraine, which is the only official registrar of EAN codes.

To receive a barcode, you must:

Submit an application to GS1 Ukraine.
Provide copies of registration documents (extract from the Unified State Register).
Pay a registration and annual fee.
Get an individual company code (prefix).

The cost of the service depends on the number of codes, the type of company, its annual turnover and the volume of production.

Barcode generation

After receiving a unique company code, you can independently create barcodes for each product. This is done using special programs, which generate a numerical code and its graphic image (in PNG, JPG or PDF format).

Is it possible to get a barcode without GS1?

Yes, some companies offer so-called “alternative” barcodes that have already been registered by other manufacturers, but are now being resold. This option may seem cheaper and faster, but it has a number of risks:

the code may have already been used;
it is impossible to ensure uniqueness and legal purity;
large chains (for example, METRO, Auchan, Epicenter) do not accept products with such codes;
there is no entry in the GS1 database.

So, if you are planning a serious business and are focused on scaling, it is better to go through official registration through GS1.

Common mistakes when creating a barcode

Incorrect formation of a digital code. Without adhering to the standard structure, the code will not be read by scanners.
Using unlicensed software for generation. This can lead to errors in the graphic image.
The same code for different products. Each product line (even with a change in weight or color) must have a separate barcode.
Applying the code in the wrong place on the package. This complicates scanning and may cause a refusal to sell in the store.
Using someone else’s barcodes. This may be considered a violation of intellectual property rights.

What documents are required for registration?

To apply for barcode registration, you will need:

Extract from the Unified State Register (or certificate of state registration);
Company TIN;
Contact information (address, phone, e-mail);
Product description (name, category, number of SKUs);
a copy of the TM or other information about the marking (if available).

The registration process usually lasts from several days to a week.
