Verification of maritime documents
The process of verification of seafarers’ qualification documents is aimed at accelerating and improving the establishment of their authenticity. What should you know about verification?
Conventionally, this entire process can be divided into three stages:
- registration;
- verification request;
- verification result.
First, you need to select the “Verification” section on the specified site, after which you will need to follow the suggested link. The next steps should be as follows:
- creating a new account, which you will need for the verification procedure;
- entering the necessary data (we are talking about indicating your email address, password, full name, gender, date of birth and phone number).
You can also add your own 3 x 4 cm photo, but this is not required.
At the second stage, as already mentioned, a verification request is made. In your personal account, you need to click on the corresponding field and then fill in the fields in the form “Confirmation of qualification documents”. Next, you should select “make a request”. After sending the document for verification to the Shipping Administration, a message should appear in your personal account stating that the request has been successfully generated. This message should also be sent to the e-mail you specified during registration.
It is important to know that the verification form for each document is filled out separately.
What data is entered into the form?
When you fill out the document verification form, you need to enter the following information:
- surname, first name and patronymic;
- date of birth;
- first name and last name in English;
- nationality;
- gender;
- position (both in Ukrainian and English);
- competence standard in accordance with the International Convention on Standards of Training, Certification and Watchkeeping for Seafarers;
- additional data regarding the seafarer’s qualifications (both in Ukrainian and English).
The next step is to select the document to check, add its scanned copy and other necessary information.
What is important to know about verification results?
You can check the document status in your personal account. There are four options for what the status of this request may be:
- “approved”;
- “rejected”;
- “cancelled”;
- “in processing”.
If you need to cancel a request you have made, you can click on the button located in the upper right corner.
Once the request has been verified, the results should appear in your personal account and by email. If the document is valid, this is the status that will be displayed on the website. You will be able to download it from your personal account in two languages – Ukrainian and English.
If the document is invalid, this will also be reflected in the personal account. There are situations when the applicant fills out the verification form incorrectly. A letter with the verification results is sent to the email and personal account, as in the previous cases. In this situation, the status “rejected” will be recorded in the letter. Another important aspect is that the reason for the rejection is indicated.
What to do if you don’t receive a response?
Seafarers who have not received a response regarding document verification can submit an application in the marad.gov.ua system. The response should be in Ukrainian and English. This system belongs to the State Service of Maritime and Inland Water Transport and Shipping of Ukraine.
It should be noted that the new certification procedure in Ukraine stipulates that the execution and verification of seafarers’ documents falls exclusively within the competence of the Shipping Administration.
